1. About this policy
1.1 This policy explains what the AI features in GarageCloud can and cannot do, and the checks you must make before acting on them. It is issued by EdinPro Digital Ltd, trading as GarageCloud ("GarageCloud", "we", "us"), a company registered in Scotland under company number SC906556, registered office 11 Muir Place, Livingston, EH54 5BF.
1.2 It forms part of our Terms of Service and expands on clause 12 of those Terms.
2. What the AI features do
2.1 AI assisted diagnostics, included in the Professional Plan, runs through your own account with an AI provider, connected using your own API key. It uses information you enter, such as fault codes, symptoms, live data readings and vehicle details, to suggest possible causes, checks to carry out and repair approaches.
2.2 We may add other AI features in future. Each AI feature is labelled in the app.
3. The limits of AI
3.1 AI outputs are produced automatically from patterns in general data. They:
may be wrong, incomplete or out of date;
may sound confident even when they are wrong;
do not inspect or test the vehicle;
may not reflect manufacturer procedures, technical bulletins or recalls for the specific vehicle; and
may give different answers to the same question.
3.2 AI outputs are suggestions to support a qualified technician. They are not a diagnosis, a repair instruction or professional advice.
4. Human responsibility
4.1 You remain responsible for every decision made in your business. Before acting on any AI output, a suitably qualified and competent person must:
check it against the vehicle, using proper inspection and test equipment;
check it against manufacturer data and procedures; and
decide whether to act on it, using their own professional judgement.
4.2 You must never rely on an AI output as the only basis for a decision about a vehicle's safety or roadworthiness.
5. Safety critical work
5.1 Take particular care with brakes, steering, suspension, tyres, airbags and restraint systems, fuel systems, and driver assistance systems. Always follow manufacturer procedures for this work.
5.2 Do not use AI outputs as instructions for working on high voltage systems in electric or hybrid vehicles. Only appropriately trained and qualified staff should carry out that work, following manufacturer procedures.
5.3 AI features play no part in MOT testing. MOT tests must be carried out and recorded by a nominated tester in line with the MOT inspection manual and DVSA requirements.
6. Sharing AI outputs with customers
6.1 You must review and, where needed, correct any AI output before you share it with a customer, for example in a quote, report or message. Once shared, it is your statement to your customer.
6.2 We recommend you tell customers when you have used AI tools to help prepare a diagnosis or report.
7. Your data
7.1 When you use an AI feature, the information needed for that request is sent to the AI provider whose API key you have connected. You choose that provider and contract with it directly, and it bills you for your usage, so it is not our Sub processor. Please check its terms, including whether it uses data submitted through its API to train its models.
7.2 AI features work on vehicle information. Please do not enter customer names, contact details or other personal data into AI features unless the task genuinely needs it.
7.3 AI features do not make decisions about individuals and are not used to assess or profile your customers.
8. Uses that are not allowed
8.1 You must not use AI features to:
produce false or misleading reports, invoices or vehicle histories;
present an unchecked output as a confirmed diagnosis;
get round safety procedures or manufacturer requirements; or
do anything that breaks the Acceptable Use Policy.
9. Availability and limits
9.1 AI features rely on the AI provider you connect and may sometimes be slow or unavailable, for example if your provider account runs out of credit. We do not limit the number of AI requests. Any limits are set by your provider.
9.2 We may change, improve or withdraw AI features. If we remove AI assisted diagnostics from the Professional Plan, clause 17.3 of the Terms of Service applies.
10. Our liability
10.1 Our liability for AI features is governed by clauses 12 and 22 of the Terms of Service. We are not liable for loss arising from reliance on an AI output in breach of this policy.
11. Feedback
11.1 If an AI output is wrong or unsafe, please report it using the feedback option in the app or by emailing [email protected]. This helps us improve the feature.
12. Changes
12.1 We may update this policy as AI features develop. Material changes will be made in the same way as changes to the Terms of Service under clause 25.
